1.0 Job Description:
1.1. Job Description Receptionist
1.1.1. The Receptionist is a member of the Purser department
1.1.2. The Receptionist status is that of Rating
1.1.3. The Receptionist reports directly to the Purser
1.1.4. Safety and conduct responsibilities of the Receptionist:
.1 Adherence to the company's health and hygiene standards in line with the acceptable Public Health Sanitation Programs and EU SHIPSAN procedures
.2 Ensuring a safe operation and working practice of the Purser Department and any related matters affecting the safety of the ship, guests, and crew
.3 Keeping the Purser promptly and fully informed of any occurrence which might affect the navigation of the ship or the safety of persons onboard and/or the quality of services offered to guests
.4 Liaise with other departments for the coordination of Purser Department activities and to ensure a smooth operation
.5 Ensuring welfare and discipline of all members of the Purser Department. He/she is to ensure that all officers in the department are aware of their social obligations whilst in guest public areas
.6 Reporting defects or malfunctions of safety equipment and appliances e.g. expired or empty fire extinguishers, defective fire doors, broken or missing lifejackets, broken fire buttons, safety posters missing, etc
.7 Participating fully in safety drills and statutory inspections commensurate to the role and as per Company policies and procedures
.8 Ensuring departmental compliance with the Maritime Labour Convention directive on working hours
.9 Supporting the Purser Department team in applying correct security measures
.10 Other safety responsibilities, as assigned, but not limited to the above
1.1.5 Environmental responsibilities:
.1 Environmental stewardship is central to this role and the entire operation of the ship. This role will engage in, comply with and promote all environmental regulations and policies, actively working with the Hotel Department and guests to promote sustainability and protection of the environment in all aspects of life on board
1.1.6 The Receptionist is responsible for:
.1 Greeting guests in a professional manner and providing them with prompt, courteous and friendly service, personable and approachable at all times
.2 Ensuring that guests are provided with accurate information on shipboard services
.3 Being cost conscious with the use of office supplies, printed materials and other consumables.
.4 Providing guests with information about a variety of shipboard ser-vices (such as, but not limited to information on the daily program, temperature, accounting matters etc.) including information on shore excursions/expeditions
.5 Acting as the communication link between shipboard personnel and guests
.6 Keeping an accurate record and following up on lost and found items
.7 Dealing with any Maintenance issues which may arise in guests' areas and reporting and following up on the work orders in a timely manner
.8 Making shipboard announcements on the Public Address system if necessary
.9 Handling Safety Deposits for Guests when requested
.10 Preparing the Birthday and Anniversary lists for Guests and distributing to all relevant Departments
.11 Handling of any inquiries about credits and gratuities and accepting payments from Guests to their shipboard accounts
.12 Accepting credit card imprints and privilege disclaimers from guests (for settling their accounts) and ensuring that the privilege disclaimers are kept in a secure place
.13 Assisting guests with disembarkation information and inquiries
.14 Assisting guests with inquiries about their onboard statements/accounts, shipboard credits and prepaid gratuity forms (to assist guests in filling out the pre-paid gratuity forms if necessary) and accepting the completed forms and forwarding them to Chief Purser for action
.15 Selling postage to guests who wish to mail letters and postcards and to exchange selected foreign currencies for guests at the Reception
.16 Handling check-in for way port embarking guests and assisting guests who may disembark in way ports
.17 Assisting the Purser and Chief Purser with Customs and Immigration paperwork when necessary
.18 Assisting guests with issuing of lost/replacement key cards per Company policies and procedures
.19 Dealing with and record all guests complaints and comments in an efficient and timely manner
.20 Completing a Work Registration Form correctly every month and sub-mitting it to the Hotel Director in a timely manner.
.21 Promoting the hotel operations values and goals by effectively communicating the corporate vision and expectations downwards
.22 Ensuring that company property is always maintained properly and treated with respect
