Group Reservations Manager

As a Group Reservations Manager, you will be responsible for all aspects of Group Reservations, including processing all Group Sales contracts, accurately maintaining/updating Group Blocks for inventory management, running weekly Group Pickup Meeting, and group reservations team talent management. Additionally, you will support the Director of Revenue Management with various reports and analytics as needed. What you will be doing: - Liaise with multiple teams and Group Contacts to ensure the highest level of guest service is maintained while maximizing profit
- Respond to all group reservation requests and guest communications in a timely, courteous and professional manner in adherence to Fairmont Hotels & Resorts standards
- Create, monitor, maintain, and modify group blocks in Property Manager (PMS), CRS, and Passkey to secure accurate block inventory and rates
- Accurately process signed group contracts and enter rooming lists
- Ensure accuracy of rooming lists and billing instructions as compliant to contract, group resume, and the information provided by Group Sales Team and Conference Services and Catering Team
- Document and inform key stakeholders (Conference Services and Catering Team, Group Sales Team, and Front Office) of any pertinent dialog to ensure accurate block information and guest satisfaction
- Act as hotel Passkey champion, enabling all groups and ensuring all entered information is accurate and discrepancies are corrected
- Attend all required meetings
- Review and audit group resumes to ensure all group reservations-related details are accurately reflected in PMS
- Assist the Reservations team with calls, reservations, and emails as required
- Implement new techniques, strategies, and new technology to maximize departmental productivity
- Provide Group Reservations-related training to the Reservations Team
- Assist in managing the Daily Operations of the Reservations Department, act as Reservations Supervisor in his/her absence, and support the Reservations team in achieving departmental objectives
- Accurately run weekly Group Pickup Report and Meeting, provide weekly updates of all group washes and increases to all departments involved
- Monitor group blocks and assess risk, while making strategic recommendations
- Support Director of Revenue Management with various reports and updating Opera S&C MARs/Ceilings
- Provide proposals for the adaptation of the long-term and short-term groups reservations strategy, as requested
Your experience and skills include: - Minimum of 1 year Reservations and/or Front Office experience required
- Reservations and/or Front Office supervisory experience preferred
- Experience in managing Group Blocks is required
- Must be proficient in Microsoft applications, CRS, and PMS
- Experience with Opera (PMS, CRS, and S&C) and Passkey GroupMax is highly preferred
- Must possess excellent communication skills, both verbal and written.
- Must be able to multi-task and be detail-oriented in a fast-paced and high-volume environment.
- Must have excellent interpersonal and organizational skills and be attentive to detail and follow-up.
- Must display strong analytical competency.
