Job Description For Administrative Assistant

Description

Position Summary

General responsibilities and accountability will be to m anage in the area of General Affairs and Office Management in Hyatt Hub Japan. To provide efficient administrative support to RVPs and other members within Japan and Micronesia. Ensure smooth, pleasant and efficient running of the office under good working ethics. Close communication and collaboration with other management members of Hyatt Hub Japan is highly expected.

Main Duties

Personnel

  • Support and demonstrate Hyatt Purpose - We care for people so they can be their best - at all time.
  • Collaborate closely with other team members of Hyatt Hub Japan Offices in a positive and flexible manner, focusing on the overall success of the company, as well as all internal and external customers.
  • Work in a supportive, friendly and flexible manner with all Hyatt hotels worldwide, in a spirit of Care.


Administration

  • Monitor all incoming and outgoing e-mails, phone calls as well as correspondences related to general administration.
  • Ensure that an efficient and accurate filing system, both manually as well as electronically, is maintained at all times.
  • Assist Regional Vice Presidents daily administrative works such as meeting arrangement, various document creation, handling correspondences and booking restaurants on behalf of the RVPs.
  • Attend meetings and prepare meeting minutes when required.


Human Resources

  • Take an initiative in promoting social community engagement and business continuity plan, and encourage the team to commit to Hyatt Thrive.
  • Coordinate employee events such as Celebrating Our People and other team outings etc. together with Regional Vice President of Human Resources.


General Affairs

  • Ensure smooth, pleasant and efficient running of the office under good working ethics.
  • Maintain good and productive relationship with vendors and suppliers.
  • Coordinate daily administrative communications with Hyatt Chain Service team.
  • Establish and maintain all General Office procedures to ensure the orderly performance of all activities.
  • Handle petty cash in Hyatt Hub Japan Office.
  • Prepare reports as requires.


Customer Service

  • Where necessary and applicable, handle all guest and internal customer complaints and inquiries (or liaise those to Area Director of HR if applicable) in a courteous and efficient manner, following through until problems are resolved satisfactorily.
  • Maintain positive guest and associate interactions with good working relationships.


Office Management

  • Constantly consider how the Hub Japan office functions efficiently and achieves the wellness of colleagues, and implement the measures to achieve them in consultation with Vice President and Regional Vice President of Human Resources.
  • Try to have the most updated info about how the other hubs operates their offices and introduce such practices to Hub Japan.
  • Proactively improve and maintain the working environment at Hyatt Hub Japan.
  • Be conversant with all services and facilities offered by the office .
  • Understand and adhere to Rules and Regulations established in the Employee Handbook and the company's policies concerning fire, hygiene and health and safety.
  • Improve and maintain the measures to prevent / mitigate potential risk factors in the office environment e.g. fire drill, preparation of emergency kit, maintenance of an emergency call tree etc.


Other Duties
  • Ensure high standard of personal presentation and grooming.
  • Exercise responsible behavior at all times . P ositively represent Hyatt Hotels Corporation and Hyatt Japan.
  • Attend training sessions and meetings as and when required.
  • Carr y out any other reasonable duties and responsibilities as assigned.
