As F&B Administrative Assistant, you will fully support the Director of Food & Beverages and team with administrative tasks, customer service and receive, you will be responsible for performing the following tasks to the highest standards:

Reporting to the Director of Food & Beverage, your key job responsibilities are as follow:

• Organize daily F&B correspondence, handle and respond as appropriate.
• Understands F&B Promotions and preparation of promotional correspondence.
• Prepare, maintain and distribute various reports and documents and distribute them to all Restaurant In Charge
• Preparation of Contract for all 3rd party entertainers and event licensing required documents.
• Assist the Director of Food & Beverage in keeping calendar constantly updated to facilitate appointment and meeting schedules.
• Establish and maintain various filing /records/database of business contacts, trace pending items and follow up as appropriate
• Arrange for various meetings and take minutes
• Assist in vacation planning for the whole F&B Department and monitor the system (Civil Soft) if the details entered are accurate.
• Monitor the overtime of line level F&B colleagues and ensure that its properly inputted in the system and tracker are updated at all times.
Qualifications:
You should ideally have a college diploma in secretarial training and relevant previous experiences in the same role. You must also have fluency in both written and spoken English and the ability to take sufficient notes at a meeting to prepare a record of events. Computer literate and sufficient typing skills accurately will be highly regarded.
