• Coordinating with the other departments for any documentation or for any contracts approvals especially with Finance.

• Coordinating with the supplier regarding the vendor information sheet, supplier evaluation forms, and supplier assessment forms and filing the respective documents accordingly.

• Receiving the FF&E documents from the Department for CMM/MM signature and entering it in the FF&E status list with reference and the date received. Passing the documents to Finance and entering the date of forwarding in the logbook.

• Prepare the Monthly Attendance Sheet to be approved by CMM.

• Assists CMM / Materials Manager for follow up of the quotations and updating in the system accordingly.

• Maintain all the files pertaining to the Materials Department.

• Process the PR allocated by CMM/MM with 3 quotations and prepare the comparison on timely basis for Food / General Items and forwarding it for CMM approval.

• Ensure all quotations with comparisons are available on timely basis for all the LPOs processed and getting it authorized by CMM/MM.

• To arrange and find alternate suppliers for the products subjected to quality and prices.

• To prepare the approved supplier list and updating.

• Updating the quotations for the expired quotations and entering in the system.

• Coordinating with the stores regarding the stock availability for general and food ensuring the stock is replenished on time.

• Follow up the pending LPO report and deliveries.

• Forwarding the savings report and updates to Asst. Materials Manager / MM.
