Job Description For Reservations Agent
PURPOSE
• To handle reservation enquiries and to convert them into bookings
• To process enquires, bookings, amendments & cancellations thereof in the most effective and timely manner
• To establish, develop and maintain good working relations with the bookers of all clients of the hotel in support of the sales effort
• To apply the yield strategies and policies of the hotel to ensure maximum occupancy/revenue
RELATIONSHIPS
1. Reports directly to the Reservation Supervisor/ Reservations Manager
2. Interacts with key departments of the hotel particularly Front Office, Sales & Marketing, Revenue Manager, Reservations & Banqueting
3. Interacts with the bookers across all market segments
ESSENTIAL DUTIES AND RESPONSIBILITIES
• To translate established yield policies into practice
• To secure that all reservations enquiries and confirmations, amendments & cancellations thereof are handled in a professional, in line with established policies/standards & timely manner
• Secure that the rates contracted by clients are applied and that the business generated by them is tracked properly
• Ensure rate policies and selling strategies are followed to maximize revenue
DUTIES AND RESPONSIBILITIES
• To be constantly aware of the supply/demand situation of the market place and the competition set
• To be constantly aware of the booking status for the next 7 days and the Best Available Rates offered
• Receive process and confirm guest room reservations made by clients on the phone, letter or fax as per Royal Rose Hotel standard.
• Input, modify or cancel phone reservations into the system correct and directly and file accordingly.
• Attend to enquiries, complaints and requests regarding reservations.
• Attends to specific request on airport transfers, visa applications, meet & assist services for the guests
• Maintains established filing systems of all correspondence
• Answer inquires and / or promotes hotel services and facilities.
• Answer questions on the rates, promotions and room type’s availability.
• Follow established procedures to process all room reservations, rates, confirmations, hotel facilities, etc.
• Put traces into reservations that require follow up. E.g. payment, visa, special request and rate discrepancy.
• Check all the reservations for the next day arrival and ensure that all the pertinent information regarding the stay and special requests is being fulfilled.
• Ascertain caller’s needs through open ended questions and try to sell higher / yield rooms.
• Use guest recognition skills effectively.
• To secure that all emails have been answered and there is nothing pending before completing the shift
• Secures that all reservations, amendments & cancellations are tracked properly as far as market segments, clients/accounts and bookers are concerned
• Secures that contracted rates applied appropriately
• Secures that business generated by accounts is tracked properly
• Secures that allotments contracted by clients are managed effectively
• Perform any other duties that may be assigned from time to time by the immediate supervisor and manager
• Strict compliance with hotel’s credit policy
• Aware of manual reservations in case of an unforeseen event of system breakdown or system maintenance
Candidate should preferably have previous experience in a similar role with reputed hospitality organizations.
