Job Description
Scope of Position:
To effectively manage the procurement department, ensuring the acquisition of the right merchandise at the right time and the best available price, whilst adhering to company procedures.
Key Responsibilities:
- Liaise with various departments (F&B, Housekeeping, Engineering, etc.) to meet their procurement needs and ensure timely supply of merchandise.
- Process and track procurement requisitions, orders, and contracts, prioritising based on urgency and lead time.
- Ensure conformity to quality standards and specifications whilst obtaining goods at competitive prices.
- Maintain proper planning and control systems, including filing of procurement orders, lead time demarcation, and delivery tracking.
- Prepare and manage supplier contracts, including terms, signatures, and expiry dates.
- Monitor store inventories and capital item orders to prevent overstocking and ensure timely delivery.
- Keep abreast of market situations and procurement best practices.
- Collaborate with the accounts department for timely document clearing and payment processing.
- Provide exceptional guest service, addressing any issues promptly and empathetically.
- Adhere to company policies, safety procedures, and departmental guidelines.
- Develop and implement cost-saving strategies to optimise procurement processes and reduce expenses.
- Conduct regular supplier evaluations and performance reviews to ensure quality and reliability of goods and services.
- Negotiate favourable terms with suppliers, including pricing, delivery schedules, and payment terms.
- Manage and mitigate supply chain risks by developing contingency plans and alternative sourcing strategies.
- Collaborate with the sustainability team to incorporate environmentally friendly and socially responsible procurement practices.
Qualifications
- Minimum one year management experience in a procurement department
- 3 years' experience in a hotel procurement department
- Bachelor's degree in Finance/Accounts/Supply Chain Management preferred
- Excellent oral and written communication skills
- Collaborate effectively with other hotel employees and managers to ensure teamwork
- Able to resolve conflicts with guests, supervisors, and employees
- Ability to multitask and work well under pressure
- Basic computer skills in MS Office, knowledge and experience in SAGE 300
- Proficiency in procurement software and inventory management systems
- Strong analytical and negotiation skills
- Knowledge of supply chain management principles and best practices
- Familiarity with hospitality industry standards and regulations
- Demonstrated ability to develop and implement cost-saving strategies
- Experience in vendor management and contract negotiations
- Strong ethical standards and commitment to responsible procurement practices
