Description
Position Overview:
The Event Coordinator/Event Concierge is a key member of the Events team, responsible for supporting the planning and flawless execution of group and social events. This role acts as the primary on-site contact for clients during events, ensuring their expectations are exceeded while coordinating with operational departments to deliver seamless experiences. The ideal candidate is highly organized, service-driven, and passionate about delivering memorable events in a luxury hospitality environment.
Key Responsibilities:
- Serve as the on-site liaison between clients and hotel departments during events, ensuring real-time communication and service excellence.
- Support Event Managers in the planning process, including preparing event orders (EOs), diagrams, amenity requests, and welcome letters.
- Conduct pre-convention meetings and walk-throughs as needed to ensure client expectations are aligned with execution plans.
- Coordinate event logistics with Banquets, Culinary, AV, Front Office, Housekeeping, and other relevant departments.
- Ensure all event spaces are prepared and set according to client specifications and Hyatt brand standards.
- Greet group contacts upon arrival and provide continuous support throughout their event.
- Respond promptly to last-minute client requests or changes, demonstrating flexibility and professionalism.
- Monitor event progress and communicate updates or issues to the Event Manager and Director of Sales & Events.
- Maintain thorough knowledge of hotel services, amenities, outlets, and local attractions to enhance guest experiences.
- Assist with post-event follow-up, including gathering feedback and supporting billing as needed.
- Uphold brand standards and contribute to a culture of warm, anticipatory service.

Qualifications
- Previous experience in events, hospitality, or customer service preferred (hotel experience strongly desired).
- Exceptional interpersonal and communication skills.
- High level of attention to detail and ability to manage multiple tasks in a fast-paced environment.
- Professional appearance and demeanor.
- Flexibility to work evenings, weekends, and holidays based on event schedule.
- Bachelor's degree in Hospitality, Events, or related field preferred.
- A genuine passion for hospitality and a heart for service.
