POSITION SUMMARY
The HR Executive - Payroll is primarily responsible for managing the full payroll cycle for a diverse workforce. This includes accurate processing of wages, overtime, allowances, and statutory deductions such as FNPF and PAYE, while ensuring compliance with local labor laws and company policies. The role also involves maintaining detailed payroll records, managing leave balances, and preparing reports for internal use and audits. A strong understanding of Fiji's employment regulations and hospitality wage structures is essential.
In addition to technical payroll duties, the HR Executive plays a key role in employee support by addressing payroll-related queries and ensuring clear communication of entitlements and deductions. The position requires close collaboration with HR and Finance teams to ensure data accuracy and alignment across departments. The role also contributes to continuous improvement by identifying opportunities to streamline payroll processes and supporting the implementation of payroll systems and HRIS tools. Discretion, accuracy, and a service-oriented mindset are critical to success in this position. Key Responsibilities:
Payroll Processing:
- Execute end-to-end payroll processing for all categories of staff in accordance with company schedules.
- Ensure accurate calculation of wages, overtime, allowances, deductions, and leave entitlements.
- Process final payments for resignations, terminations, and retirementsCompliance and Statutory Obligations:
- Ensure full compliance with Fiji's Employment Relations Act, FNPF, PAYE, and other statutory requirements.
- Prepare and submit statutory returns and reports to relevant authorities within required deadlines.
- Maintain up-to-date knowledge of changes in labor laws, tax regulations, and hospitality wage standards Data Management and Record Keeping:
- Maintain accurate and confidential payroll records, including employee profiles, contracts, timesheets, and leave balances.
- Coordinate with department heads to ensure timely submission of attendance and roster data.
- Regularly audit payroll data to identify and correct discrepancies. Reporting and Reconciliation:
- Generate monthly payroll reports for management, including cost breakdowns by department.
- Reconcile payroll accounts with finance and assist in preparing payroll-related journal entries.
- Support internal and external audits by providing necessary payroll documentation and explanations.
- Respond to employee inquiries regarding payslips, deductions, leave balances, and tax matters.
- Educate staff on payroll policies, statutory deductions, and entitlements.
- Handle sensitive payroll issues with discretion and professionalism.
System and Process Improvement: - Assist in the implementation and maintenance of payroll software and systems.
- Identify opportunities to streamline payroll processes and improve accuracy and efficiency.
- Participate in HR projects related to compensation, benefits, and workforce planning.
Collaboration and Coordination: - Work closely with HR and Finance teams to ensure alignment of employee data and financial reporting.
- Coordinate with external vendors or consultants for payroll system support or compliance updates.
- Support HR in workforce planning, budgeting, and cost control initiatives related to payroll.

- Maintain confidentiality of proprietary materials and information.
- Follow company and department policies and procedures.
- Protect the privacy and security of guests and coworkers.
- Ensure uniform, nametags, and personal appearance are clean, hygienic, professional and in compliance with company policies and procedures.
- Perform other reasonable job duties as requested by Supervisors.
Communication
- Talk with and listen to other employees to effectively exchange information.
- Speak to guests and co-workers using clear, appropriate and professional language.
- Discuss work topics, activities, or problems with coworkers, supervisors, or managers discreetly and quietly, avoiding public areas of the property.
- Answer telephones using appropriate etiquette including answering the phone within 3 rings, answering with a smile in one's voice, using the callers' name, transferring calls to appropriate person/department, requesting permission before placing the caller on hold, taking and relaying messages, and allowing the caller to end the call.
- Prepare and review written documents (e.g., daily logs, business letters, memoranda, reports), including proofreading and editing written information to ensure accuracy and completeness.
Assists Management
- Assist management in screening resumes, conducting interviews and selecting new hourly hires using selection tools and systems.
