The Reservations Agent is responsible for managing hotel room reservations efficiently, ensuring accuracy, and delivering exceptional service to potential and existing guests. This role acts as the primary point of contact for guests making inquiries or bookings via phone, email, or online platforms, contributing to guest satisfaction and hotel revenue optimization.
Reservations & Booking Management:
Handle incoming reservations via phone, email, website, and third-party booking platforms.
Accurately input guest information, room assignments, and special requests into the property management system (PMS).
Confirm, modify, and cancel reservations as required while adhering to hotel policies.
Maintain awareness of room availability, rates, promotions, and packages.
Assist with group bookings, corporate accounts, and event reservations when needed.
Guest Service & Communication:
Provide detailed information about hotel services, facilities, room types, and policies.
Respond promptly to guest inquiries, ensuring courteous and professional communication.
Follow up with guests to confirm bookings and provide pre-arrival assistance.
Resolve booking discrepancies, complaints, or special requests in a professional manner.
Revenue & Reporting:
Assist in maximizing occupancy and revenue by promoting hotel packages and upselling room types or amenities.
Maintain accurate records and prepare daily reservation reports.
Coordinate with Front Office, Housekeeping, and Revenue Management teams to ensure smooth operations.
Administrative & Compliance:
Ensure reservations comply with hotel policies, rates, and procedures.
